Policy on Prevention of Harassment in Recruitment Activities

1.Introduction

For students and other job seekers, the job search process is an important opportunity to consider their future and career and to choose the path they wish to pursue. As a company involved in this important stage of their lives, Tamagawa Seiki Co., Ltd. recognizes its responsibility to respect the dignity and human rights of every job seeker and to provide an environment in which they can pursue their job search with confidence and in a manner true to themselves.
Tamagawa Seiki Co., Ltd. conducts its business activities in accordance with the principles of “Justice, Diligence, and Improvement,” under our mission of “Creating the World of Tomorrow through ‘Measuring’ and ‘Moving.’” In accordance with our Human Rights Policy, we respect the human rights of all individuals involved in our business activities and do not tolerate discrimination or any form of harassment.
We are committed to ensuring fairness and integrity throughout our recruitment activities and have established this policy to prevent harassment against job seekers.

2.Our Initiatives

  • We will ensure that all employees involved in recruitment activities are fully informed of and comply with this policy.
  • We have established a consultation desk for job seekers. When a consultation is received, we will promptly and appropriately respond after confirming the relevant facts.
  • If it is determined that the human rights of a job seeker have been violated through harassment or other inappropriate conduct, we will promptly take corrective measures and respond appropriately.
  • If any conduct in violation of this policy is confirmed, we will take strict disciplinary action in accordance with our internal rules and regulations.
  • If harassment between job seekers is identified during internships, recruitment selection processes, or other recruitment activities, we will also take appropriate and strict action.
  • No adverse treatment whatsoever will be made against a job seeker on the basis of making a consultation or report.

3.Examples of Harassment

Tamagawa Seiki Co., Ltd. recognizes the following types of conduct as examples of harassment in recruitment activities and will take measures to prevent such conduct:

  • Sexual remarks or unwanted physical contact
  • Questions or requests concerning romantic relationships, dating, marriage, or similar personal matters
  • Repeated or persistent invitations to private meals or drinking
  • Pressuring a job seeker to exchange social media accounts or personal contact information
  • Repeatedly asking intrusive questions about personal matters unrelated to the recruitment or selection process
  • Intimidating behavior, remarks that demean or deny an individual's character, or discriminatory remarks or conduct
  • Suggesting or implying that selection decisions or a job offer will be affected in order to make inappropriate requests or seek improper benefits

4.Specific Measures

To prevent harassment arising from the use of the position or authority associated with recruitment activities in interactions between job seekers and employees, we have established the following rules. These rules will be thoroughly communicated to all employees involved in recruitment activities, including recruitment information sessions, interviews, and internships.

  • As a general rule, communications with job seekers shall be conducted using company email accounts and company-issued devices. The use of social media accounts or personal devices for such communications is prohibited.
  • Meetings with job seekers for interviews, discussions, company information sessions, internships, or other recruitment-related activities shall be conducted at company facilities, university campuses, or other appropriate public locations. Meetings in private or secluded locations are prohibited.
  • Meals involving alcoholic beverages with job seekers are prohibited in principle. If such a meal is deemed unavoidable, it shall be conducted only after respecting the job seeker's free and voluntary decision and following the appropriate procedures. A job seeker shall not be subjected to any disadvantageous treatment for declining to participate.
  • If a social or networking event is held, participation shall be limited to those who wish to participate. As a general rule, one-on-one meals between an employee and a job seeker are prohibited.
These rules are intended to prevent harassment in recruitment activities and do not restrict interactions based on pre-existing personal relationships, such as family relationships, friendships, or other private relationships between employees and job seekers. However, using such relationships to influence the recruitment or selection process, or engaging in inappropriate conduct based on such relationships, is prohibited.
